These are important to all agencies, but especially those in the independent space. With so many carriers, it’s important that we have consistency in our systems to keep track of information. This benefits both us and our clients.
Why are P&Ps so Important?
On a surface level, processes and procedures help us be efficient. If we know what to do, how to do it, and we have a system in place to make sure it gets done – we are naturally going to save time. This gives our clients an overall better experience. More importantly, this helps us avoid Errors and Omissions (E&O).
E&O claims can be quite costly to your agency. These claims can occur from work and clerical mistakes, undelivered services, accusations of negligence, and missed deadlines. There are countless examples of E&O claims, such as incorrectly listing a piece of information. These mistakes can turn into big losses, so its important to have processes and procedures in place to make sure you meet the expectations of your office.
Where to Start?
In order to build out your processes and procedures, it’s important to identify what the process is and what its purpose is. You need to clearly define where the process begins, where it ends, and what your desired outcome is. From there, you need to list out is included in the process and what order these steps need to be done it. When you have these steps lined up, it is crucial to clearly outline who is responsible for which part of the tasks. From there, make sure your processes and procedures are clearly written out so that all staff members (new and old) can refer to it.
Even with an understanding of these basic steps, creating processes and procedures and enforcing them can be a challenging task, especially for people new to the independent space.
